Create Work Schedules for Your Team

Work schedules are the key feature in clockin for accurately tracking your employees' working hours. They define the planned working hours of each employee and enable precise calculation of overtime and minus hours.

Here’s how:

  1. Go to the employee’s profile and switch to the Work Time Management tab.

  2. Click the button + Assign Work Plan in the top right corner.
  3. A new window will appear. Click on the blue link Create new Plan in the bottom left corner.
  4. You’re now in the Edit Work Plan view, where you can configure the plan individually.

 

 

Below you can find an example of a work schedule that can be used to represent a classic 40-hour week. This is just one option - you can flexibly customize and individually configure work schedules as needed.

 

  1. Name your plan: A clear name helps keep things organized.

  2. Set the start date: Define when the date the plan should be valid (☝️Usually the 1st of the new month)
  3. Choose the Working Time Rule: For our example, we select Daily Working Time, which is the most detailed option in clockin. It lets you define the target working time for each individual day.
  4. Choose the Break Regulation: In this example, we use Only subtract stamped breaks,
    meaning only breaks that are actually recorded will be subtracted.
  5. Enter Target Working Hours & optionally define a timeframe:
    Next, enter the number of target hours for each workday. In our example, the employee works 8 hours from Monday to Friday. We also define a flexible time frame (this step is optional). In our example, the employee can work anytime between 8:00 AM and 6:00 PM.

    To set this up:

    • Hold down the left mouse button and drag a bar over the desired time frame (e.g., 8:00–18:00).

    • A dropdown will appear – select Flexible time from the list.

    Finally, enter “8 hours” as the target time for each weekday from Monday to Friday.

  6. Don’t forget to click Save!
